For Shopify merchants who dropship and run on Billbee

Every order with a supplier.Every exception with you.

Covedesk assigns every line to a supplier, records what has actually been ordered, collects delivery dates and tracking numbers – and speaks up the moment something stalls. With the reason and the next step.

45 minutes, using one of your own suppliers as the example.

Why

Promised for Thursday. No shipping notice since, nothing new in the inbox.

After

The new date is recorded on the line. If it slips again, Covedesk flags it again.

Where dropshipping breaks

Five things that should stop happening.

No merchant loses orders on purpose. They get lost between the shop, Billbee, the supplier portal and the inbox. Covedesk sits exactly at those hand-offs.

  • The paid order nobody placed with the supplier.

Every supplier line stays open until an order is proven – by order number, portal receipt or sent email.

  • The delivery date that quietly passes.

Commitments carry a date. Once it passes without a shipping notice, the line moves to the top of your list.

  • The tracking number that sits in an inbox.

Covedesk reads your suppliers’ shipping emails and returns the number to Shopify and Billbee. Your customer gets the shipping confirmation from your shop.

  • The payment matched to the wrong order.

Bank transfers are matched to open items with a tolerance and a stated reason. Uncertain matches are decided by a person.

    Finance module
  • The supplier invoice nobody files.

Invoices attach to the supplier order they belong to. You see discount deadlines and discrepancies before you pay.

How it runs

One order, from checkout to tracking number.

This is how order #10482 runs through Covedesk – two lines, two suppliers, one delay.

  1. Intake

The order comes in through Shopify, Billbee picks it up, Covedesk reads it. Both lines ship directly from the supplier to the customer.

  2. Assignment

Covedesk proposes a supplier for each line – based on your rules for product, brand or Shopify metafield. You confirm or change it.

  3. Ordering

Supplier A through its portal, supplier B by email from your template. A line only counts as ordered once there is proof.

  4. Confirmation

Supplier B’s order confirmation arrives by email. Covedesk attaches it to the line and takes over the delivery date.

  5. Shipping

The tracking number from the shipping email goes back to Shopify and Billbee. Your customer gets the usual shipping confirmation.

  6. Exception

Supplier A has not responded. The line is on your list – with what to do now, why, and what happens after.

Product

What Covedesk does differently.

  • Per line, not per order

An order with three items can mean three suppliers. Covedesk tracks every line on its own until it reaches the customer.

  • No silent guesses

If an assignment is uncertain or a proof is missing, Covedesk doesn’t guess. The line goes to a person – with the reason and a suggestion.

  • Billbee stays in charge

No ERP migration. Orders and invoices stay in Billbee; Covedesk takes over the work that starts after the order comes in.

  • Your rules, no code

Suppliers, ordering methods, email templates, deadlines and tolerances are set up for your business. No builder, no scripts.

  • Every step on record

Each detail shows where it came from – Billbee, Shopify or a supplier email. Every line has a complete history.

  • Your data stays yours

Hosted on servers in the EU. Each merchant’s data is technically separated, and access is logged.

In use

Merchants and partners who work with it.

We used to spend evenings with Billbee, three supplier portals and the inbox side by side, working out what was still missing. Now Covedesk tells us each morning which line is stuck and why. We’ve stopped searching and started working through the list.

inselvoltManaging director · Solar equipment, Shopify and Billbee, eight suppliers

We have our products made and shipped by partners. For every order, Covedesk shows us whether it was accepted and when the tracking number arrives – without anyone having to chase it. Adding a new partner is a setting, not a project.

musegearOperations · Bluetooth trackers, own brand, shipped by logistics partners

We bring our merchants orders. Whether those turn into repeat customers is decided afterwards – at the supplier. Covedesk is the first tool we recommend for that without reservation.

Is Covedesk right for you?

Built for a particular way of selling.

A good fit if

  • you sell through Shopify and process orders in Billbee,
  • a large share of your goods ship directly from the supplier,
  • you work with several suppliers via portals, email or spreadsheets,
  • someone currently checks by hand that everything was ordered and shipped.

Probably not a fit if

  • you ship almost everything from your own warehouse,
  • Amazon FBA or a fulfilment provider handles your shipping,
  • an ERP already covers your purchasing end to end,
  • you have a single supplier and a spreadsheet does the job.

Pricing

Three tiers. You pay for what your suppliers fulfil.

We count supplier lines per month – every order line a supplier ships for you. Goods from your own warehouse don’t count.

Questions

What merchants want to know before the demo.

Do I need Billbee?
Yes. Covedesk reads orders from Billbee and writes tracking numbers back. Orders from other channels that arrive in Billbee run through the same way.
Does Covedesk place orders with my suppliers itself?
By email, yes – from your templates and with your approval. For supplier portals, Covedesk takes you to the right order and records the proof; you trigger the order in the portal yourself.
Does Covedesk replace my accounting?
No. The Finance module matches payments and invoices to orders and runs dunning. The general ledger, VAT and annual accounts stay with your accountant.
How long does setup take?
Usually two to four weeks. Most of it is about your suppliers: ordering methods, templates and assignment rules, which we set up together with you.
What happens when the automation is unsure?
A person decides. The line appears on your task list with the reason and a suggestion. Covedesk never acts on a hunch.
Where is my data stored?
On servers in the EU. Each merchant’s data is technically separated. You receive a data processing agreement with your offer.

When an order gets stuck with a supplier, your customer notices first.

Covedesk makes sure you know before they do.

Demo

Show us how you work. We’ll show you Covedesk in it.

The demo takes 45 minutes, online. We use one of your real suppliers as the example. Give us two or three times – we confirm one of them by email within one business day.

You speak directly with the founders, not a sales team. Covedesk was built inside a working dropshipping business.
